1. Enrollment & Approval

A non-refundable deposit of $500 USD is due at the time of registration to hold your space. The remaining balance is due no later than 33 days prior to the retreat start date (July 20, 2026).
If the remaining balance is not received by the due date, Medicine Weaver reserves the right to release your space and retain your deposit.

3. Cancellation & Refund Policy

Balance payments: Once your balance has been paid, refunds will not be offered. If you need to cancel your participation, the following applies:
Cancellation more than 60 days before the retreat: Balance payment (minus deposit) may be applied as a credit toward a future Medicine Weaver program or retreat, at our discretion.

Cancellation less than 30 days before the retreat: No refund or credit will be offered.
Medicine Weaver strongly recommends that all participants purchase travel insurance that includes trip cancellation coverage.
4. Retreat Modifications & Cancellation by Facilitator
Medicine Weaver reserves the right to modify the retreat schedule, content, facilitators, or location if circumstances require. Every effort will be made to notify participants as early as possible of any significant changes.
In the unlikely event that the retreat must be cancelled entirely by Medicine Weaver, participants will receive a full refund of all payments made, or the option to apply their payment as a credit toward a future program. Medicine Weaver is not responsible for any travel, accommodation, or other costs incurred by participants in connection with a cancelled retreat.
5. Venue Terms (Kawoq Forest)

6. Health, Wellness & Informed Participation
This retreat includes plant medicine ceremonies, saunas and herbal steams, somatic practices, and group healing experiences. By registering you acknowledge the following:
You confirm that you are in a sufficient state of physical, mental, and emotional health to safely participate in these activities. You understand that medicinal and ceremonial experiences can activate and intensify mental, emotional, and physical states, and that you are responsible for determining what is resonant and safe for your own wellbeing.
You agree to disclose any relevant health conditions, medications, or mental health history on your registration form, and to consult with your physician prior to the retreat if you have any concerns.
You agree to ask for support if you need it, and to take responsibility for your own experience throughout the retreat.
All medicines and ceremonies are optional. You understand that you have choice in everything you do, and that you can opt out of any activity at any time.
7. Participant Agreements
By registering and making payment, you agree to the following:
Commitment: You agree to show up as fully as you are able, and to do everything in your power to participate in the retreat from start to finish. You agree to approach the entire experience with a beginner's mind, suspend judgment, and trust the process — even when challenged.
Confidentiality: You agree to honor the privacy and confidentiality of all other participants. What is shared in the retreat container stays within it. You agree to share only your own experience and process, and not that of others, if you choose to speak or write about the retreat.
Group Agreements: You agree to respect each person's individual process and to ask permission before offering any form of support to another participant. You agree to hold the shared experience in a respectful and sacred way.
Consent: You understand and consent to participating in a retreat experience that may include plant medicine ceremonies, guided practices, individual healing sessions, and group experiences.
8. Media & Privacy
No photos or video recordings of other participants or facilitators may be taken or shared without explicit consent. The retreat space is sacred and confidential. Please be mindful and discerning in your use of any devices during the retreat.
9. Travel & Insurance
Participants are responsible for all travel arrangements and associated costs, including flights, transportation to and from the retreat center, and any visa requirements. Medicine Weaver and Kawoq Forest accept no responsibility for travel disruptions.
We strongly recommend that all participants obtain comprehensive travel insurance, including trip cancellation, medical, and emergency evacuation coverage, prior to the retreat.
10. Agreement
By submitting your registration form and deposit payment, you confirm that you have read, understood, and agree to all of the above terms and conditions.
